Policy on Data Import
 
Many of our clients have existing data they would like to import into SoEasyAccounting and we provide import features to achieve this.

The areas that can be imported are:

Client and Suppliers database Import CSV files
Debtors ledger Import client account balances with certain limitations
Products register Import a user definable set of information which will automatically add items not present, and update items that are. The process will automatically create categories of products if a category field is not present
Cash Book transactions Import a user definable set of transactions from a CSV file
Chart of Accounts Import a csv file of accounts and codes
Rapid Notes Rapid notes are code associated notes that can be used when completing stories on quotations and invoices

Each process has a series of help notes to enable people with a reasonable degree of spreadsheet and file structure knowledge, to import the data.

However, if the instructions are not followed exactly, or are interpreted incorrectly, or the data is poorly created, there can be issues. Invariably it becomes our task to assist in the resolution of these issues which can be time consuming.

In many cases is is advisable to have one of our trained staff assist you in the data import.

In doing so the import process is usually quicker and your data is verified by experienced consultants.

We have formed the following Policies and services on Data Import

  • Import your data at your own risk
  • Take a backup before the import, and after the import check the data
  • If the data fails your check, delete the data and restore the back up
  • If you require our assistance charges are applicable (see services)

Common Issues with Data Imports

  • Incorrect layout
  • Incorrect file type
  • Incorrect data where fields appear to have the correct data but when analysed throughout the whole data set, there are merged fields and incorrect values. Usually due to the original export.
  • The original application does not have an easy export function and requires the data to be extracted using third party products.

In Summary

  • Many people import their own data and have no problems.
  • Taking a backup before an import enables you to recover should there be a mistake.
  • In many cases, our trained technicians can extract and import a greater resource of data that that of our standard import features.
